Terms and Conditions

Effective Date: October 24, 2025

Welcome to Klimb Kili Adventures. These Terms and Conditions govern your booking and participation in our guided tours, including Mount Kilimanjaro treks, wildlife safaris, cultural day trips, and related services (collectively referred to as “Tours”).

By booking with us, you agree to these terms. Please read them carefully before confirming your reservation.


1. Booking & Payment

  • A deposit of USD $500 per person is required to confirm your booking.
  • The full balance must be paid 60 days prior to your tour start date.
  • Payments can be made via bank transfer or secure payment link (contact us for details).
  • Your booking is confirmed only once the deposit is received.

✅ Tip: Book early — group departures often fill up 3–6 months in advance.


2. Cancellations & Refunds

We understand that plans change. Here are our cancellation policies:

For Kilimanjaro Treks & Safaris:

Less than 14 days before departureNo refund

❗ If you cancel due to medical reasons, a doctor’s note may allow partial credit toward a future climb (at our discretion).


3. Rescheduling

You may reschedule your tour once, subject to availability:

  • More than 60 days before departure: Free rescheduling
  • 31–60 days before: $100 fee
  • Less than 30 days: Treated as cancellation

Rescheduled dates must fall within 12 months of the original booking.


4. Physical Requirements & Responsibility

  • Kilimanjaro climbing is physically demanding. You must be in good health and fitness.
  • You are responsible for disclosing any medical conditions (e.g., heart issues, asthma, altitude sensitivity) at the time of booking.
  • Our guides reserve the right to stop a climber from continuing if they pose a risk to themselves or the group due to health or safety concerns.
  • No refunds will be issued for early descent due to personal health, lack of fitness, or failure to acclimatize.

5. Safety & Altitude

  • We follow strict safety protocols: daily health checks, oxygen support, pulse oximeters, and trained guides.
  • However, altitude sickness cannot be guaranteed against — it affects individuals differently.
  • You acknowledge that trekking at high altitudes carries inherent risks, and you participate at your own risk.
  • Travel insurance covering high-altitude trekking (up to 6,000m) is mandatory.

6. Travel Insurance

All guests must have valid travel insurance that covers:

  • High-altitude trekking (up to 6,000m)
  • Emergency evacuation (helicopter rescue)
  • Medical expenses
  • Trip cancellation/interruption

Proof of insurance is required 14 days before departure.


7. What’s Included

Our packages typically include:

  • All park fees, rescue fees, and VAT
  • Accommodation (tents or lodges as per itinerary)
  • Meals during the tour (3 hot meals per day)
  • Experienced lead guide (Anold), assistant guides, porters
  • Round-trip transfers from Moshi/Kilimanjaro Airport
  • Oxygen, first-aid kit, and medical monitoring
  • Summit certificate upon completion

8. What’s Not Included

  • International flights
  • Visa fees (Tanzania eVisa)
  • Travel insurance (mandatory)
  • Tips for guides, porters, and crew (recommended: $250–$350 total per climber)
  • Personal gear (boots, sleeping bag, etc.) – rentals available upon request
  • Alcoholic beverages
  • Optional activities or extensions (e.g., Zanzibar, Serengeti safari)

9. Group Size & Guides

  • Maximum group size: 6 climbers per guide
  • We maintain small groups to ensure personalized care, better acclimatization, and higher summit success.
  • You will be led by experienced local guides, including Anold Mtui, unless otherwise arranged.

10. Changes to Itinerary

We reserve the right to modify the route, camp locations, or schedule due to:

  • Weather conditions
  • Trail closures
  • Safety concerns
  • Park authority regulations

Any changes are made with your safety and experience in mind. No refunds will be issued for itinerary adjustments.


11. Force Majeure

We are not liable for delays or cancellations caused by events beyond our control, including:

  • Natural disasters
  • Political unrest
  • Pandemics
  • Flight cancellations
  • Acts of God

In such cases, we will work with you to reschedule or offer credit for a future trip where possible.


12. Code of Conduct

We expect all guests to:

  • Respect local culture, traditions, and staff
  • Follow guide instructions at all times
  • Avoid alcohol and drugs during the trek
  • Practice Leave No Trace principles (pack out trash, no littering)

Guests who violate this code may be asked to leave the tour without refund.


13. Photography & Media Release

By participating in our tours, you grant Klimb Kili Adventures permission to use photos or videos taken during the trip for marketing purposes (website, social media, brochures).
If you prefer not to be photographed, please inform your guide at the start of the tour.


14. Governing Law

These terms are governed by the laws of the United Republic of Tanzania. Any disputes shall be resolved in the courts of Moshi, Tanzania.
